ROMAR Press LLC
Privacy Policy
Last updated October 13, 2026
This policy explains what ROMAR Press LLC (“ROMAR Press”, “we”) collects through romarpress.com and the ROMAR Press Author Portal, why we collect it, who helps us handle it, and the choices you have. We collect only what we need to run a small publishing house well, and we never sell your personal information.
1. What we collect
Only what you give us, or what is needed to complete something you asked for:
- Enquiries and submissions — your name, email, phone (if given), your message, and any manuscript or writing sample you send.
- Author Portal accounts — your name, email, and the information about your books, services, files, royalties and messages that we keep for you.
- Purchases — your name, email, billing details and, for physical items, your shipping address. Card details are entered on Stripe’s secure page; we never see or store your full card number.
- Event RSVPs — your name, email, optional phone, party size, any signed copies you reserve, and any note you add.
- Reader email lists — your email and first name, if you sign up to hear from one of our authors and confirm by email.
- Nonna’s Desk conversations — what you type into our AI assistant and its replies, the page you were on, and a short one-way code made from your IP address (used only to limit abuse).
- Basic technical information — like any website, our hosting provider records standard information such as IP address and browser type to keep the site running and secure.
2. Why we use it
- To reply to you, assess a manuscript, and provide publishing services you have agreed to.
- To run your Author Portal account, pay royalties and keep records the law requires.
- To take payment, deliver e-books, and ship merchandise.
- To manage event registrations and send your confirmation, a reminder the day before, and a thank-you afterwards.
- To send an author’s newsletter to readers who signed up and confirmed — and nothing else.
- To protect the site against fraud and abuse.
3. Who helps us handle it
We use a small number of trusted service providers, who process information only to provide their service to us:
- Supabase — our secure database and sign-in system.
- Vercel — hosts the website.
- Stripe — processes card payments.
- Resend — sends our emails (confirmations, reminders, newsletters, portal invitations).
- Printful — prints and ships merchandise orders (it receives your name and shipping address).
- Zoom — hosts video meetings we schedule with you.
- Anthropic — provides the AI model behind Nonna’s Desk. It receives your chat messages to write a reply.
Marketing services for our authors are delivered with our partner, Tomorrow's Tech AI Solutions LLC, which works only on ROMAR Press’s instructions. If you register for an event, the author sees how many people are coming — not your name or email.
We may share information if the law requires it. We do not sell or rent personal information, and we do not share it for other companies’ advertising.
4. Nonna's Desk, our AI assistant
Nonna’s Desk is an automated AI assistant, not a person. It answers from the information published on this site, and it can make mistakes — anything important (prices, dates, agreements) is confirmed by the ROMAR Press team. Nothing it says is a contract, an offer, or legal, tax or financial advice.
Please don’t type card numbers, passwords or other sensitive details into the chat. Conversations are kept for 90 days so we can answer follow-ups and improve the site, then deleted automatically. Only ROMAR Press staff can read them. Our AI provider processes messages to produce replies and, under its commercial terms, does not use them to train its models. If you choose “Talk to a person”, your name, email and the conversation are sent to us as an enquiry.
5. Emails and unsubscribing
Reader newsletters go only to people who signed up and confirmed by email. Every newsletter includes an unsubscribe link, and unsubscribing takes effect immediately. Transactional emails — order receipts, event confirmations and reminders, account messages — are sent because you asked for the thing they are about.
7. How long we keep it
We keep information for as long as we need it for the purpose it was collected — for example, for the life of a publishing relationship — and for as long as tax, accounting and royalty records must be kept. Event registrations and reader-list entries are kept until you cancel, unsubscribe or ask us to delete them. Nonna’s Desk conversations are deleted after 90 days.
8. Your choices
You can ask us to show you, correct or delete the personal information we hold about you, or to stop contacting you. Email robitaille@romarpress.com and we will respond within 30 days. Some records — such as royalty and tax records — we may need to keep by law.
9. Security
Information is stored with access controls so that staff, authors and the public each see only what they should, and is sent over encrypted connections. No system is perfectly secure, but we take care to protect what you share with us.
10. Children
romarpress.com is intended for adults. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, contact us and we will delete it.
11. Changes to this policy
If we change this policy we will update the date at the top of this page. See also our Terms of Use & Sale and Refund & Cancellation Policy.
